Annual Session : Exhibitor Information

CHOOSE YOUR OWN BOOTH SPACE. Carefully examine the booth floor plan in order to choose which space you would like. Changes are made to the floor plan as booths are sold. In the event of duplicate selection of the same booth(s), preference will be given based on exhibitor longevity with the SDDA. Subletting or dividing exhibit space is not allowed except by permission of the exhibits chairperson. Distribution of materials and displays must be limited to the booth space purchased. Previous major sponsors have already had the chance to choose their booth space.

All exhibitors with a paid reservation by April 10, 2017, will be listed in the Annual Session Program book.

Other voltages will require special handling. Such advance arrangements and special charges are the responsibility of the exhibitor and are at the expense of the exhibitor.

The Civic Center has agreed to receive freight for storage no more than one week prior to the event. If you require assistance with transportation and/or storage of freight, you are responsible for making the necessary arrangements. Please see "Convention Center Contact" at the bottom of this page.

A registration fee of $100 will be charged for each representative not exhibiting or advertising. Only persons listed at the registration desk and wearing an SDDA name badge will be allowed in the Exhibit Hall.

prior to April 10, 2017, $50 will be retained to cover expenses already incurred by the SDDA.
between April 11 and April 30, 2017 a 50% refund will be given.
After April 30, 2017, no refund will be given.

Extenuating circumstances are to be evaluated by the SDDA Annual Session Planning Committee.

Meal function tickets, including the lunch in the Exhibit Hall and the Friday night Mixer, will be available for purchase, by pre-registration only, for all registered exhibitors. Friday night's Mixer includes dinner and entertainment.
There will be a Reception in the Exhibit Hall on Thursday, May 18 from 3:00-6:00 pm. Here's your chance to give away prizes, show off new products, services, etc.
 Please be sure to pre-register to order lunches for your representatives, as very few lunch tickets are available to purchase on-site. The Civic Center does not offer any other food vendors in their facility during this convention.
All exhibitors with a paid registration by April 10, 2017, will be listed in the Annual Session Program Book. Additional advertising space may be purchased:
  • Full Page Ad (7 1/2" tall x 4 1/2" wide): $100
  • Half Page Ad (3 1/2" tall x 4 1/2" wide): $50

Let SDDA members know you'll be at this year's Annual Session by advertising in the South Dakota Dental Association newsletter, Dentistry in South Dakota. Our newsletter is a current issues/events publication mailed to all SDDA members, as well as the officers and executive offices of many of the other states. The newsletter will give you an excellent opportunity to reach members of the dental profession in South Dakota. Call or write the SDDA for rates.

Exhibitors are encouraged to have drawings or contests at their booths. Prizes may be a product or service offered by the exhibiting company, organization or commercial product of general appeal. The product or service must be usable by the winner without the purchase of additional goods or services. Exhibitors are responsible for distribution of their prizes.

Annual Session attendees, after acquiring 10 vendor signatures, can turn in their cards to the SDDA registration desk to be eligible for a cash prize drawing. Drawing to be held on Friday at 12:30 pm.
The SD Dental Foundation will be holding a golf outing on Wednesday, May 17, 2017. Exhibitor representatives are welcome to join the golf outing.
Here's your opportunity to be recognized for sponsoring coffee and food breaks. Sponsorship is only $500 and each sponsor will be listed on signage during the event.


Please be sure to provide a copy of the above information to all of the individuals staffing your booth, and also let them know if you ordered an extra table, meal tickets, electricity, etc.

Medicaid Providers Required to Provide Interpretation Services to Those with Limited English Proficiency

The enforcement of Section 1557 of the Affordable Care prohibits entities that receive federal financial assistance from discriminating on the basis of race, color, national origin, age, disability and sex.  The rule applies to Medicaid providers. Compliance requirements include requiring covered entities to "provide meaningful access to individuals with limited English proficiency" as well as providing qualified interpreters and translators. The compliance date for the notices is Oct. 16. The rest of the rule went into effect July 18.

The rule requires offices to post notices of nondiscrimination as well as taglines in the top 15 non-English languages spoken in the state indicating that free language assistance services are available.
The notices must be posted in the dental office, on the website and in any significant publications and communications. For smaller items, such as postcards and tri-fold brochures, the practice may use a shorter nondiscrimination statement and taglines in the state's top two non-English languages spoken.

The 15 most spoken languages (other than English) in South Dakota are German; Chinese; Karen; Vietnamese; Nepali; Serbo-Croatian; Amharic; Sudanic; Tagalog; Korean; Russian; Cushite; Ukrainian; and, French.


Medicaid providers in South Dakota have access to live translation services Delta’s language line.
