Annual Session/CE : Exhibitor Information

SOUTH DAKOTA DENTAL ASSOCIATION 127th ANNUAL SESSION
Friday & Saturday, May 14 & 15, 2010
Rushmore Plaza Civic Center, Rapid City, SD

INSTALLATION OF EXHIBITS
Thursday, May 13, from 1:00 pm - 8:00 pm.
Register on site with the SDDA registration desk by 5:00 pm, Thursday, May 13.

EXHIBIT HOURS
Friday, May 14, 9:30 am - 5:00 pm MST
Saturday, May 15, 9:00 am - 12:00 pm MST

All attempts will be made to place exhibiting firms with competing products or services away from one another. Early registration makes this possible. Assigned booth location cannot be changed unless permission is granted by the exhibits chairperson.

Subletting or dividing exhibit space is not allowed except by permission of the exhibits chairperson. Distribution of materials and displays must be limited to the booth space purchased.

REMOVAL OF EXHIBITS
Saturday, May 15, no earlier than 12:00 pm.

Removal must be completed by 3:00 pm unless advance arrangements have been made.

EXHIBIT FEES
$400 for 1 booth (includes two Fri. lunch tickets)
Each additional booth, $350 per booth

After April 1, 2010,
$500 for 1 booth (includes two Fri. lunch tickets)
Each additional booth, $450 per booth

Booths will be assigned on a first-come, first-served basis. All exhibitors with a paid reservation by April 1, 2010, will be listed in the Annual Session Program book. Exhibitors will receive a free half page ad (4 1/2 wide x 3 1/2 tall) by providing a camera-ready copy of the advertisement. This ad must be provided to the SDDA by April 1, 2010. Artwork also accepted via e-mail to brenda@sddental.org. Please submit electronic files in PDF format.

BOOTH SPECIFICATIONS
8 x 10, with back drapes, carpeted and draped side rails.
1 complimentary 8' skirted table and two chairs.
Access to electricity is available for an additional fee of $55 - see registration form.
Extension cords, power strips, etc. may be required and will be the exhibitor's responsibility.
Other voltages will require special handling. Such advance arrangements and special charges are the responsibility of the exhibitor and are at the expense of the exhibitor.

DRAYAGE & STORAGE
The Civic Center has agreed to receive freight for storage no more than one week prior to the event. If you require assistance with transportation and/or storage of freight, you are responsible for making the necessary arrangements.

REGISTRATION
A registration fee of $100 will be charged for each representative not exhibiting or advertising. Only persons listed at the registration desk and wearing an SDDA name badge will be allowed in the Exhibit Hall. Click here for printable registration form.

BOOTH CANCELLATION
prior to April 1, 2010, $50 will be retained to cover expenses already incurred by the SDDA.
between April 1 and April 30 a 50% refund will be given.
After April 30, no refund will be given.

Extenuating circumstances are to be evaluated by the SDDA Annual Session Planning Committee.

SOCIAL EVENTS
Meal function tickets, including the lunch in the Exhibit Hall (two complimentary tickets are included for each booth reserved) and the Friday night Mixer, will be available for purchase, by pre-registration only, for all registered exhibitors. Friday night's Mixer includes dinner and entertainment.

SDDA NEWSLETTER ADVERTISING
Let SDDA members know you'll be at this year's Annual Session by advertising in the South Dakota Dental Association newsletter, Dentistry in South Dakota. Our newsletter is a current issues/events publication mailed to all SDDA members, as well as the officers and executive offices of many of the other states. The newsletter will give you an excellent opportunity to reach members of the dental profession in South Dakota. Call or write the SDDA for rates.

PRIZES
Exhibitors are encouraged to have drawings or contests at their booths. Prizes may be a product or service offered by the exhibiting company, organization or commercial product of general appeal. The product or service must be usable by the winner without the purchase of additional goods or services. Exhibitors are responsible for distribution of their prizes.

Annual Session attendees, after acquiring 10 vendor signatures, can turn in their card to the SDDA registration desk on Saturday during the morning break in the Exhibit Hall to be eligible for the cash prize drawings.

The SD Dental Foundation will be holding a golf outing on Thursday, May 13, 2010. If you would like to sponsor a pin prize, contact Dr. Monty Bechtold at 605-224-5355 before May 1.

INDIVIDUALS STAFFING YOUR BOOTH
Please be sure to provide a copy of the above information to all of the individuals staffing your booth, and also let them know if you ordered an extra table, meal tickets, electricity, etc.

2010 Legislative Session in Final Week

The SDDA's legislation to preclude insurance companies from dictating maximum allowable charges for non-covered services has cleared the Senate and the House and is on its way to the Governor's desk.
While there is no overt action to reduce funding for the Adult Dental Medicaid Program, on-going efforts to cut spending - in order to balance the State budget - require us to keep a watchful eye on the Program.  Adult Dental is the only optional program within the Medicaid Program. We continue to closely monitor the budget process closely and it appears, at this time, that the Adult Medicaid Program will not be cut.

Follow Legislative happenings by using our online grassroots advocacy system. All members can access updated information on  legislation affecting dentistry through the SDDA's web site. Members should go to the Advocacy page on the web site (click here) to access the online system. Once in the system, members can peruse a list of bills the SDDA is following, track the legislation as it works its way through the process and read background information on the legislation. The system will also allow members to view how their Legislators voted on our issues. The system is password protected - members should use SDDA as the user name and their ADA number as the password.
